Aircall combines a business phone environment with AI agents that handle calls and AI assistance for employees. Its current offer spans routine inbound requests, connected actions and structured guidance during human conversations. The useful distinction is who is doing the work: an AI Voice Agent speaks with the customer, while AI Assist Pro helps a person conduct and document a call. Those approaches can coexist, but they have different licensing, usage and operational requirements.

In brief
  1. 01Best fit Sales and support teams that want calling, CRM context and AI assistance connected.
  2. 02Commercial caveat Current official pages differ on Voice Agent minimums and telephony inclusion; obtain a matching written quote.
  3. 03Research scope Public sources consulted 11 October 2026. The worked sales workflow is proposed and has not been tested.

01 / ProductCalling, automated agents and human assistance

The AI Voice Agents page describes inbound and outbound voice alongside messaging, with integrations for work such as checking orders, creating tickets and booking meetings. Aircall presents the agent as part of its communications environment. Actual action access depends on the connected systems and the permissions configured for the business.

AI Assist Pro playbooks serve a different role. They provide a structured guide during a live employee call and generate a summary around the selected framework. This is useful for discovery or qualification conversations where the team needs to remember the customer's constraints and next steps without turning every call into a rigid script.

The broader pricing page describes Essentials and Professional phone plans and additional AI services. Aircall's AI relevance lies in connecting the spoken conversation with the record and subsequent action. A summary that never reaches the CRM may be convenient to read; a carefully integrated result can become useful to the next employee who handles the customer.

02 / AudienceFor teams whose customer record starts with a call

Aircall is relevant to sales and service teams that make or receive enough calls for manual note capture and handoff to become a recurring problem. A software sales team, a field-services office or a customer-support desk can evaluate whether structured calling data helps staff follow through more consistently. Begin with the existing CRM process, because that determines which call outputs are useful.

A team primarily handling complex written support may have a different center of gravity. Our Intercom blueprint explores service grounded in digital conversations and knowledge. Our Twilio blueprint is useful when the organization wants to assemble a customized communications workflow. Aircall's packaged operating environment and a developer-built system involve different amounts of implementation ownership.

The choice also depends on whether the first goal is answering missed calls or improving staff conversations. The former calls for an autonomous-agent pilot with escalation rules. The latter may benefit from a playbook and reliable CRM synchronization before the organization delegates customer-facing decisions to software.

03 / WorkflowProposed workflow for a qualified sales handoff

Consider a proposed pilot for a software vendor's discovery calls. The objective is to capture the customer's problem, buying process and agreed follow-up accurately enough for another salesperson to continue. Sequenced has not tested this workflow. The employee remains responsible for interpreting the prospect's needs and deciding whether an opportunity is qualified.

Confirm access first. The playbook documentation lists an AI Assist Pro license or trial, AI Beta Program enrollment, an eligible number, Aircall Workspace and administrator setup. It also requires the relevant recording and transcription settings. Treat those as explicit prerequisites; buying a phone seat alone does not demonstrate that the playbook is ready to use.

Choose a short playbook aligned with the team's actual process. Ask for the business problem, affected users, timing and next step, leaving room for the employee to follow the conversation. A field should remain unknown when the prospect has not supplied the information. Do not reward the pilot for filling every CRM field if the system inferred authority or budget that the caller never confirmed.

During the call, evaluate whether guidance helps without distracting the employee. Afterward, compare the structured result with the recording and correct it where necessary. Aircall documents that the final summary follows the last selected playbook; selecting No Playbook means no playbook summary. Include a call that changes purpose midway so the team understands the resulting record.

For integration, the developer guide recommends waiting for playbook_result.created or playbook_result.updated, then retrieving the data through the API. The event is a notification, not the complete result. A proposed integration should associate the result with the existing call and contact, and handle later corrections without creating a second opportunity.

Finally, have another salesperson use the record to prepare the agreed follow-up. Evaluate whether they understand what was said, what remains unknown and what was promised. Track corrected summaries and duplicate or missing CRM updates. The desired outcome is a usable handoff, not simply a larger volume of automatically generated notes.

04 / PricingReconcile the current official pricing pages

The main pricing page lists Essentials from US$30 per license per month billed annually and Professional from US$50, with a three-license minimum for those phone plans. AI Assist Pro is listed at US$49 per seat per month as an add-on. These figures describe different components and should not be collapsed into a single AI subscription price.

For AI Voice Agents, current official pages disagree on important conditions. The main pricing page shows a US$100 monthly minimum, while the Voice Agents page describes pay-as-you-go with no minimum usage and no contract. Both show volume-based pricing, including US$0.49 and US$0.39 per-minute tiers and prepaid bundles. We do not select one minimum as universally applicable.

The billing help article describes charging for active AI participation separately from telephony, while current marketing says telephony is included. That may reflect offer or contract differences; the public evidence does not resolve it. Ask Aircall to identify the exact offer, included telephony, free-minute treatment, minimum and bundle rules in the proposed order.

The practical budget is therefore a stack of phone licenses, employee AI assistance and autonomous-agent usage where applicable. Model the staffed workflow separately from the autonomous one. The table records the visible commercial signals without implying that a single customer can combine every allowance or advertised rate.

05 / DistinctionsStructured call results can travel beyond the calling app

The playbook API is a meaningful distinction because it exposes structured output for a downstream process. It allows the business to connect a completed call with coaching, CRM enrichment or a handoff record. The design should preserve the fact that a person may subsequently edit the result; an integration that only imports the first version can keep using a claim after an employee has corrected it.

Aircall's separation of AI Voice Agents and employee assistance also permits different experiments. A business can evaluate whether a receptionist answers routine questions while independently checking whether a playbook helps sales staff. The success measures should differ. A voice agent needs correct resolution and escalation; an employee assistant needs useful guidance and faithful documentation.

The Voice Agents page describes actions across systems and managed voice infrastructure. That can simplify the starting architecture compared with assembling each service separately. It does not remove the need to decide which actions are allowed or how the business confirms that a booking, ticket or account update actually occurred.

06 / QuestionsLanguage coverage and commercial ambiguity need real checks

Aircall's playbook documentation distinguishes seven verified languages from additional languages offered on a best-effort basis, with differences in template support. A multilingual sales operation should test its actual accents and vocabulary instead of assuming that a language appearing in a list has identical performance. The relevant question is whether important customer constraints survive transcription and summarization.

The same documentation still mentions beta enrollment. Confirm that the account, number and Workspace configuration meet the current requirements before scheduling a pilot around playbooks. Ask the vendor to resolve any difference between the general product description and the tenant's available controls. This is an eligibility check, not an assumption that the feature is absent.

For autonomous calls, resolve the pricing discrepancies before extrapolating cost. A per-minute rate looks precise but is incomplete without knowing included telephony, minimums and the treatment of free or bundled minutes. Capture the agreed basis and compare the first usage report with it, so later expansion rests on observed billing rather than an interpretation of conflicting pages.

07 / DecisionChoose the conversation job that matters first

Aircall deserves evaluation when a business wants its phone activity, AI assistance and customer records to work together. Begin with either a narrow automated call type or a staffed conversation whose handoff is currently weak. Demonstrate the correct outcome and record, then expand after eligibility and commercial conditions are clear enough to operate predictably.
