Notta combines meeting capture, editable transcripts and AI-generated deliverables. Its current desktop options add an important choice between cloud workflows and local Privacy Mode, while Brain introduces a separate question: can the team turn several conversations into one dependable next action?
- 01Core task. Capture conversations and turn checked context into useful follow-up.
- 02Best fit. Teams producing briefs, reports and project updates from repeated meetings.
- 03Decision point. Separate capture mode, local processing, transcription quotas and Brain credits.
01 / ProductMeeting capture, transcription and follow-up are separate layers
Notta records or imports spoken content, transcribes it and provides tools for summaries and follow-up work. Its company page presents an AI assistant for turning conversations into useful information. The product now spans more than a meeting bot: web and mobile tools, desktop recording, a local transcription mode and the Notta Brain workspace sit within one company offer.
The transcription page describes cloud transcription in 58 languages, speaker identification, editing, imported media and several export formats. That is the source-record layer. Brain then uses meetings and other files as context for questions, reports, presentations and drafts. A team should evaluate those stages separately because accurate capture does not guarantee an accurate generated deliverable.
The most consequential distinction is between bot-free recording and local processing. Removing the bot from a meeting's participant list changes how audio is captured. It does not by itself mean audio stays on the computer. Notta's separately documented Privacy Mode provides the local transcription route, with a narrower set of models and languages than the broader cloud service.
02 / AudienceFor people who need the work after the meeting
Notta is relevant to consultants, agencies, project managers and researchers who repeatedly turn discussions into another artifact. A consultant may need a checked client brief; a project manager may need a status report across several meetings. Those are stronger reasons to evaluate Brain than simply generating a recap nobody reads.
A multilingual team should start with its actual language pattern. A meeting conducted in one language and translated later differs from a conversation switching between two languages in real time. The paid plans and add-ons distinguish transcription, translation and bilingual workflows. A broad language-support statement cannot establish the quota or mode available to a particular account.
The Fathom blueprint is a useful comparison when customer meetings and CRM follow-up dominate. The Granola blueprint is relevant when the preferred experience centers on personal meeting notes. Compare what happens after capture: where the record lives, who can inspect it and how an approved follow-up reaches its destination.
Teams with a rule against uploading recordings should investigate the local route before assuming the ordinary desktop workflow qualifies. A desktop application can still use cloud services. The decision should be based on the selected mode and required outputs, not on whether a bot appears in the call.
03 / WorkflowProposed workflow: turn two meetings into one checked brief
A proposed pilot could use an internal project kickoff and its follow-up meeting. Ask participants to agree on recording and choose a supported capture mode. Include one changed deadline and one unresolved responsibility so the generated brief must distinguish the current state from an older discussion. This is an editorial evaluation proposal, not a report of a Notta account test.
The desktop recording page offers Mac and Windows downloads labelled beta. It describes capture from system audio and delivery of transcripts and notes into the Notta workspace. Its FAQ specifies platform requirements and says participants still need to be informed in accordance with applicable rules and organizational policy. A bot-free interface does not remove that responsibility.
After capture, check the transcript around the decision points. Correct names and who said what before asking for a combined brief. In the proposed example, a tentative date from the kickoff should not outrank the confirmed date in the follow-up. Keep an explicit note that the second meeting supersedes the first on that question.
The Brain page describes workspace search and using @ to narrow context to selected meetings or files. Request a short brief based only on those two records, with decisions, open items and named owners kept separate. The same page acknowledges that answers can change with the prompt and sources, which makes source selection an important part of the workflow.
Review the result before exporting a presentation, document or email draft. Verify deadlines, responsibilities and whether a proposed action was actually accepted. Then ask someone who attended neither meeting to read the brief and identify anything ambiguous. The useful outcome is a reliable handoff, not merely an attractive generated slide or a shorter meeting summary.
04 / PricingDistinguish transcription capacity from Brain credit allowances
The English pricing page, consulted on 5 October 2026, displayed US-dollar annual billing. The figures below are monthly equivalents with annual totals shown, not cancellable monthly prices. Its comparison table includes 1,000 Brain AI credits per month on every base plan, including Free. The paid Brain add-on is optional; the page makes add-ons available exclusively to Pro, Business and Enterprise users. Transcription minutes and Brain credits remain separate allowances.
| Route | Commercial basis | What to establish |
|---|---|---|
| Free | US$0; 120 transcription minutes/month | Only 3 minutes per conversation; 10 AI summaries/month. |
| Pro | US$8.17/month equivalent; US$97.99/year | 1,800 transcription minutes/month; 5-hour recording limit. |
| Business | US$16.67/seat/month equivalent; US$199.99/year at one seat | Unlimited transcription, with file-upload and summary quotas. |
| Enterprise | Custom; starts at 51 seats | Contracted control, access and support requirements. |
| Optional Brain add-on | Displayed US$93.59/year | 8,000 AI credits/month; eligible paid plans only. Confirm how it combines with included credits. |

The word unlimited needs to stay attached to the correct unit. Business still lists upload and summary limits, so a large batch of short recordings can create a different constraint from a few long meetings. Translation add-ons have their own usage allowances as well. Estimate the number of recordings and required outputs, not just total meeting duration.
The pricing FAQ says a downgrade to Free leaves saved transcription data but limits visible transcript content to the first three minutes. Export the records you need before changing plans. For procurement, distinguish access to historical data from the right to continue generating new outputs; neither should be assumed from a single monthly price.
Brain's credit model also makes iteration relevant. A team that generates several versions of a presentation may have different usage from a team that asks one question per meeting. Use actual intended tasks to judge the allowance and confirm the current charge basis in the account before relying on a fixed number of deliverables.
05 / DistinctionsPrivacy Mode changes the processing boundary
The Privacy Mode guide describes local recording, transcription and storage after downloading an offline speech engine. It distinguishes this mode from ordinary bot-free recording and cloud workflows. The guide also notes that login or updates may still need connectivity. Local transcription should therefore be evaluated as a specific mode, rather than a blanket claim that the entire Notta application is offline. The guide associates unlimited local use with Pro; confirm that entitlement rather than assuming free desktop access includes it.
Language support depends on the local model. The default model lists a limited set including English, Japanese, Korean, Simplified Chinese and Cantonese. Apple Speech Analyzer has its own requirements and language coverage on supported macOS versions. A team should test its actual machine and source language instead of applying the cloud service's 58-language headline to local processing.
Local processing also changes the handoff. Keeping recordings on a computer can help satisfy an internal storage preference, but it does not automatically provide the same shared workspace or Brain experience as cloud content. Decide which outputs are allowed to leave the device and how they are reviewed before being copied elsewhere. A privacy benefit can disappear if someone routinely exports the entire unreviewed transcript to another service.
Brain's cross-meeting view is a separate distinction on the cloud side. It can be useful when an answer depends on a sequence of discussions rather than one call. The corresponding evaluation is whether it follows changes over time and selects the right sources, not just whether it can summarize each meeting individually.
06 / QuestionsCheck beta behavior and the exact record being shared
Both desktop pages label the download beta. Plan a fallback recording and note-taking process for the pilot, and test the device configuration the team actually uses. A supported operating system is only the starting point: headphones, conferencing applications and audio permissions can affect capture. Do not make a critical meeting depend on an untested combination.
The security page documents AWS hosting, encryption and organizational controls. Those statements describe the cloud service and do not prove a particular workspace's sharing configuration. Confirm the roles, default access and export settings in the chosen plan before a team begins collecting sensitive conversations.
A cross-meeting question can accidentally combine projects with similar names. Include a project, source selection and time range in the proposed prompt, and inspect whether the returned output includes stale material. The risk grows when the workspace becomes a long-lived knowledge store. Agree who marks an old decision as superseded and how the current record is identified.
Generated follow-up needs an explicit human owner. A proposed next step in a conversation should not become a promise in an email simply because Brain can prepare the draft. Review the recipient, scope and dates together with the source passages. The product can reduce assembly work while responsibility for the communication remains with the person sending it.
07 / DecisionChoose the capture and processing route before the plan
Notta is worth evaluating when recurring conversations need to become checked, reusable work products. Start by choosing cloud or local processing, then test the capture method and downstream output. Size transcription capacity and any additional Brain credits according to the work demonstrated in that pilot.
